How it works
The invoicing tool lets you bill a donor for something specific, a sponsorship, a purchase, anything you can put a name and a price on. You pick the donor, add the items they owe for, and send it.
It has two pieces that work together:
The item catalog is your saved list of the things you invoice for. Build it once, and you won't have to retype a title and price every time you send an invoice.
The invoice builder is where you pair a donor with items from your catalog and send it their way.
Because prices live in the catalog, an item costs the same every time it's invoiced
handy when more than one person on your team is billing the same donors.
Adding your items to the catalog
Do this once per item, before you build your first invoice.
Go to dashboard.betterworld.org.
Click Invoices.
Click Item templates.
Click Create new item.
Fill in the item's details, title, and price. Optionally add tax or shipping to the item.
Click Save. Adding more than one? Click Save & create another one instead, and the form stays open for the next item.
Creating and sending an invoice to an existing donor
On the Invoices page click Create New Invoice.
Optionally change the title and due date of your invoice.
Optionally, link the invoice to a related event, this will allow you to collect payment for the invoice via our Event App.
Next, enter the donor's information. Choose from a list of existing donors, searching by name or paddle number, then select them. Or enter a new donor's information by entering their name.
Click Search item templates to see items you've already added, or click +Add item to create a new item.
Click the item you want to add.
Click Save.
Need to add another item? Click Search item catalog again and choose the next one. Then click Save.
Optionally, enter a message to your donor to be included in the invoice or an internal note for you and your team.
Once you're all done click Save & continue to preview.
Double-check the donor, the line items, and the total. Once it looks right, click Confirm & send invoice.
Done! You can see the invoice was sent successfully. You can also mark the invoice as paid, edit it, send it again or delete the invoice here.
